How planning a trip with WAC actually works, from first conversation to departure.

How the process works

Every trip starts the same way, with a conversation, not a form. Here’s what to expect at each stage of working with us.

Getting Started

How do we start planning a trip with WAC?

With a conversation. We ask about how you like to travel, what’s brought you to this trip, and what would make it feel right, before suggesting anything specific.

Do we need to know exactly where we want to go before reaching out?

Not at all. Many of our best trips start with a feeling rather than a fixed destination, and we help narrow it down from there.

Will we work with the same person throughout?

Yes, one travel designer stays with you from your first conversation through the trip itself, so you’re never re-explaining your preferences to someone new.

How long does it take to design an itinerary?

For a signature itinerary, we can often turn around a proposal within a few days. A fully bespoke itinerary typically takes around two weeks to design. That said, we ask for a minimum of three months before departure to book a bespoke trip overall, since design is just one part of the process, alongside your one round of revisions, booking and reconfirming every detail with suppliers, and putting together your final documents.

Deposits & Payment

Do we need to pay in full when we book?

No. A nonrefundable deposit of 35% is due at the time of booking, with your final balance due 60 days before departure.

When do we pay for our international flights, and does WAC book them?

If you’d like us to book your flights, this is usually arranged at the same time as your deposit. We book business and premium class flights directly, and for economy fares we’ll point you toward the best airlines and options so you can book directly with the airline yourself.

What payment methods do you accept?

Credit card and bank transfer are both available through our online payment portal, and there’s a 3% discount for paying by bank transfer.

Can several households on a group trip each pay their own share?

Yes, our online payment portal lets each traveler log in and make payments toward their own portion of the trip, on whatever schedule works best for them.

What happens if we need to change our travel dates after booking?

Changes requested before your final balance is due are subject to availability and carry a fee of $100 per person per change, plus any price differences. Once your trip reaches 30 days before departure, all payments become 100% nonrefundable; changes still requested for reasons within your control at that point require a $500 Emergency Change Fee per request, paid in advance, in addition to the $100 per person change fee and any supplier costs. Making Changes & Support

Can we make changes to our itinerary after it’s confirmed?

Yes, within reason and depending on how close you are to departure. We’ll always be upfront about what’s flexible and what’s locked in by that point.

What happens if something goes wrong while we’re traveling?

You have a direct line to your travel designer throughout your trip, not a call center. If a flight is delayed or a reservation needs to shift, we handle it in real time. Once you’re traveling, your Confirmation Letter and Master Document also have supplier contacts on the ground for anything that comes up.

Can we request a different pace or itinerary style partway through planning?

Absolutely. Your proposal includes one round of revisions, so we recommend looking through it with a fine-tooth comb and letting us know all your questions and any changes at once, so we can make them all together rather than in several smaller rounds.

Who do we contact if we have a question after booking but before we travel?

Your travel designer remains your point of contact for anything that comes up between booking and departure.
