The travel between home and your first night’s stay is often the part people worry about most. Here’s how we handle it.

Flights

Does WAC book our international flights?

We book business and premium class flights directly. For economy fares, we’ll point you toward the best airlines and options for your route, and you’ll book those directly with the airline yourself, particularly useful if you’re using miles or points. Either way, we coordinate your itinerary around your actual arrival and departure times.

What if members of a group are flying from different cities?

Very common, especially for multigenerational trips. We coordinate arrival windows and arrange group transfers once everyone lands, regardless of where each flight originates. Where it’s possible, we’ll also help align flights so part of the group can fly together for a leg of the journey, or failing that, so everyone lands around the same time.

Should we book flights before or after the itinerary is finalized?

We recommend waiting until your itinerary is confirmed, so your flight times align with the trip rather than the other way around.

Do you help if a flight is delayed or cancelled?

Yes, your destination specialist is reachable throughout your trip and will work directly with local partners to adjust transfers or reservations if a flight disruption affects your plans.

Should we expect a longer wait at passport control in Europe now?

Possibly, a little. The EU’s new Entry/Exit System registers biometric details for non-EU visitors on your first crossing, which can add time compared to the old passport stamp. We build a comfortable buffer into your arrival transfer timing to account for this.

Is airport transfer included when we land?

Yes, private transfers are a standard part of our itineraries, so you’re never navigating an unfamiliar taxi queue or public transport system after a long flight.

What if our flight arrives very early or very late?

We coordinate transfer timing around your actual arrival, not a fixed schedule, so there’s no gap between landing and being met.

Do you arrange transfers between cities within our itinerary, not just airport pickup?

Yes, if you’d prefer a private transfer over taking a train between cities, we can arrange that instead. Everything is customized to your preferences as part of a bespoke itinerary.

What happens if our luggage is delayed or lost?

As soon as you land, head to your airline’s lost luggage desk and fill out a report. They’ll be tracking your bag and can usually tell you exactly where it is, and it’s typically shipped to your hotel within 24 hours. Hold onto the receipt with the phone number and confirmation number so you can follow up if needed, and this is one of several reasons we recommend travel insurance for every trip.

Multi-Stop & Multi-Country Trips

How do you handle logistics for a trip across multiple countries?

We look closely at the specific logistics for the combination of countries you’re interested in, and we’ll be honest with you if we think a particular routing will be too exhausting. We typically aim for a maximum of three hours’ travel time between destinations, so you always have plenty of time to settle in on arrival. Since we do this every day, we know the options for flights, trains, and car rentals inside and out, one thing we’d generally steer you away from is a cross-country car rental, since picking a car up in one country and dropping it in another usually comes with a hefty one-way fee.

Is it better to fly or take a train between certain countries?

It depends on the specific route. Between two capital cities, flying is typically the best option. Between smaller towns and cities, the train is often the better choice. If you’re staying in two more remote places, a private driver usually makes the most sense, since there often isn’t an established train or flight route connecting them directly.

How much buffer time do you build in between connections?

Enough that a short delay never threatens the rest of your day. We plan transfer timing conservatively, especially for connections that matter, like a ferry or a domestic flight.
